About this policy
This policy explains what personal data we collect when you register for the competitions of FPS XXVII ITB 2027, how we use it, and the choices you have.
FPS XXVII ITB (Festival Paduan Suara XXVII ITB) 2027 is organized by Paduan Suara Mahasiswa Institut Teknologi Bandung (PSM-ITB). The FPS XXVII ITB 2027 organizing committee (“we”, “us”) decides how your data is used and is responsible for it.
This policy covers fpsitb.com and competition.fpsitb.com, including signing in, registering, uploading documents and submitting payment proof. By registering, you agree to the processing described here.

How we use your information
We use your data only to run the competition and the festival:
- To create your account and let you sign in
- To process your registration and check that you meet each category’s rules, including age limits
- To verify payments and, where the rules allow, process refunds (for example, to participants who do not pass the audition)
- To give the jury what they need to assess entries
- To contact you about your registration, missing or incorrect data, schedules and results, by email or WhatsApp
- To publish participant names, choir names, photos and short biographies in the festival programme, on our website and on our social media
- To keep the website secure and prevent misuse
We do not sell your data or use it for advertising.
Children and choir members
Participants in any competition or category may be under 18, and some categories (such as Solo Vocal V1 and V2 and the C1, C2 and M1 choir categories) are mainly for children and teenagers. Data about a child must be submitted with the consent of their parent or legal guardian.
If you register a choir, you confirm that you have permission from each member, or from their parent or guardian if they are under 18, to share their data with us. We use members’ data only to check eligibility and run the competition. If you register for the Conducting competition, you confirm that the choir members who appear in your audition videos have agreed to share them with us.
Who we share it with
Access to your data is limited to the committee members who need it. We share it outside the committee only in these cases:
- The Artistic Board receives audition recordings to assess qualification.
- Jury members receive the materials needed to assess entries. Composition and Arrangement entries are given to the jury without the composer’s name.
- PSM-ITB and Saint Angela Choir, the two choirs Conducting participants work with, take part in the competition and in assessing finalists.
- Our bank and the committee representative who holds the payment account receive transfer details, including the sender’s name.
- Service providers that run the website for us: Google (sign-in), Supabase (database), our server host, Cloudflare (network and security) and our email delivery provider. They process data only to provide their service.
- The public, for names, choir names, photos, biographies and results published in the festival programme, website and social media. We never publish identity documents, addresses, phone numbers or payment details.
- Authorities, when Indonesian law requires it.
Storage and security
Your data is sent over encrypted connections (HTTPS). Identity documents, payment proofs and other uploaded files are stored privately and can only be opened by you and authorized committee members after signing in. Admin access is limited to the committee.
Some of our service providers store data on servers outside Indonesia, for example in Singapore. We use providers that protect personal data to a standard comparable to Indonesian law.
No system is completely secure. If a breach affects your data, we will notify you and the relevant authorities as required by law.
How long we keep it
We keep your data only as long as the festival needs it. FPS XXVII ITB 2027 ends in August 2027.
| Data | Kept until |
|---|---|
| Identity documents, payment proofs, proofs of score rights, addresses and phone numbers | Deleted by 31 December 2027. |
| Uploaded scores, audio samples and forms | Kept as the festival’s historical record. Copyright stays with the composer or arranger. |
| Names, choir names, categories, results, and published photos and biographies | Kept as the festival's historical record. |
Your rights
Under Indonesia’s Personal Data Protection Law (Law No. 27 of 2022), you can ask us to:
- Show you the personal data we hold about you
- Correct data that is wrong or incomplete
- Delete your data, or stop processing it
- Withdraw your consent
Deleting your data or withdrawing consent before the competition ends may mean we can no longer process your registration. Refunds then follow the competition rules.
To make a request, email us from the address on your account. We will reply as soon as we can, within the time the law requires.
Cookies
We use only the cookies needed to keep you signed in and to protect the site. We do not use advertising or tracking cookies.
